This article applies to the following workspace types
Nutrition Labelling Enterprise
Advanced filtering lets you find every resource in your workspace that matches a set of conditions. For example, you could find all recipes with more than 5g of protein per serve that are vegan and soy free.
- Filters are saved sets of conditions, such as a nutrient threshold, an allergen status or a tag. Build a filter once and run it again at any time.
- Filter results are the resources that matched a filter when it was run. Each result links straight to the resource. Run the filter again to get updated results.
To learn how to export detailed information about the resources in your filter results, see the Advanced export article.
Create and manage filters
Filters are created in Workspace settings and, once saved, are shared with everyone in the workspace.
Create a filter
- Go to Workspace settings, select Export data, then select the Filters tab.
- Select + New filter.
- Enter a Name and, optionally, a Description to give users extra context.
- Add the filter conditions:
- Select Add condition, then choose a category and a field (see What you can filter on below). You can also use Search all fields to find a field by name.
- Choose an operator. The operators available depend on the field type.
- Enter a value, if needed.
- Add more conditions as needed. Conditions in the same group are combined using the group's setting:
- Match all: a resource must meet every condition in the group.
- Match any: a resource must meet at least one condition in the group.
- To combine different logic, add another group and choose whether the groups are joined with AND or OR.
- Save the filter.
You can save a filter at any time, including before it is finished, and come back to complete it later.
Run a filter
On the Filters tab, open the filter's card menu and select Run filter, or open the filter and run it from there.
The filter runs in the background, so you can keep working while you wait. Its status changes from Pending to Complete, or to Failed if something goes wrong. When the run is complete, the matching resources are listed. Select a resource to go straight to it.
To export the matching resources, select Export on a completed filter result. See the Advanced export article.
View a filter and its results
Select a filter to open it. Its conditions are shown as read-only. Select Edit to change them.
The Results tab lists every time the filter has been run, with the status of each run and the user who ran it.
Find and organise filters
The Filters tab lists all saved filters in the workspace. Each card shows the filter's name, description and number of conditions, who created it, when it was last run and how many times it has been used.
- Switch between Created by me and All filters, and change the sort order. Both choices are remembered for you in each workspace.
- Search by filter name.
- Star a filter to add it to the Starred section at the top of the list. Starred filters also stay in the main list.
- Use the card menu to Edit, Duplicate, Run filter or Delete.

Permissions, limits and things to know
Sharing
Saved filters are visible to everyone in the workspace. Filter names do not need to be unique, so give each filter a name that makes its purpose clear.
How long a filter takes to run
The first run of a filter that checks calculated values, such as nutrients, serves or yield, can take a few minutes in a large workspace. Later runs are faster, including runs of other filters that check the same resources.
Filter results
A filter result records which resources matched at the time the filter ran. If resources are edited, added or archived afterwards, run the filter again to get up-to-date results.
Deleting a filter does not delete its results or any exports made from them.
Troubleshooting and FAQs
A filter on a calculated value doesn't return the results I expect. Filters compare against the exact calculated value, which can differ slightly from the rounded value shown in Foodworks. For example, a recipe may show 6.00g of protein per 100g when the exact value is 5.99984g. Filter on a range around your target rather than an exact value (for example, Protein is between 5.9 and 6.1 per 100g).
My recipe uses a serve weight. Will it match a filter on number of serves? Yes. Serve and yield filters match the calculated value, whichever serve or yield type was entered on the resource. For example, a recipe with a total weight of 368g and a serve weight of 184g is matched by Serves (no. of serves) is between 1.9 and 2.1.
A recipe is returned by an Ingredients filter, but the ingredient isn't on its Ingredients tab. The Ingredients category searches the full recipe tree, so the ingredient is used in one of the recipe's sub recipes.
What is the difference between Ingredients and Fields > Ingredients? The Ingredients category filters on the ingredients a resource contains. Fields > Ingredients filters on the other fields on the resource's Ingredients tab, such as number of serves, serve weight and yield.
I can't find a food when filtering on characterising ingredients. Options show each resource's declaration name, or its resource name if no declaration name is set, so search by the name used on the label. You can select resources from your own workspace and from any searchable workspaces that are turned on. Data source foods cannot be selected.
A nutrient isn't in the list. Only nutrients enabled in the workspace can be used in filters. Turn the nutrient on in the workspace's enabled nutrients, then add the condition.
Can I find resources where an allergen has been overridden? Not currently. Allergen and nutrient conditions check the final calculated result, which already includes any overrides. To see overrides, export the override fields using Advanced export.
What is the difference between Created by and Contributors? Created by is the user who first created the resource. Contributors includes every user who has published a version of it.
My filter is still Pending. Filters are queued and run in the background. The first run in a large workspace can take a few minutes. The status updates when the run is complete.
Can I save a filter I haven't finished? Yes. Incomplete conditions and empty groups are kept when you save, so you can finish the filter later.
Why can't my Professional workspace use advanced filtering? Advanced filtering is part of Nutrition Labelling Enterprise. Professional workspaces cannot use it.
