Create and use resource sub-types

Resource sub-types let your organisation split raw materials, sub recipes and recipes into more specific kinds, each with its own set of information to capture. They work closely with custom fields:

  • Resource sub-types split a standard resource type into more specific kinds. For example, you might split your recipes into brand lines, such as your core brand and a private label range, and capture a different set of information for each.
  • Custom fields are extra data entry fields on a resource, such as a supplier code, a specification review date or an approval status. They appear on the Custom fields tab of your resources.

Create and manage sub-types

Resource sub-types are created in Organisation settings and can be assigned to resources in each workspace where they are turned on.

To access Organisation settings you must be an Organisation Owner or Administrator.

Create a sub-type

  1. Open Foodworks.
  2. Go to Organisation settings and select Resource sub-types.
  3. Select Create sub-type.
  4. Enter a Name and, optionally, a Description to give users extra context.
  5. Choose the Base resource type: Raw material, Sub recipe or Recipe.
  6. Save the sub-type, then turn it on in each workspace that needs it (see Turn sub-types on in a workspace below).

Each sub-type belongs to one base type and can only be assigned to resources of that type. To choose which custom fields appear on a sub-type, set the field's Visible on setting. See the Custom fields article.

Turn sub-types on in a workspace

  1. Go to Workspace settings.
  2. Under the Data heading, select Resource sub-types.
  3. Tick each sub-type to turn on.

Changes save automatically.

A new sub-type cannot be assigned to any resource until a workspace turns it on.

Sub-types and fields are turned on separately. If a sub-type has its own custom fields, turn those fields on in the workspace as well. See the Custom fields article.

Assign a sub-type to a resource

  1. Open the resource and click Edit.
  2. On the General tab, select a sub-type from the Resource sub-type dropdown.

Changes save automatically.

The dropdown only lists sub-types that match the resource's base type and are turned on in the workspace.

Change or clear a resource's sub-type

You can change or clear a resource's sub-type at any time. This can change which custom fields apply to the resource. Values are never deleted.

  • Fields that no longer apply become read-only and move to the N/A area at the bottom of the Custom fields tab.
  • Fields for the new sub-type, if any, become active.

Permissions, limits and things to know

Sub-type names are visible across your organisation, including in workspaces where they are not turned on.

Retire a sub-type

Sub-types cannot be deleted. Archive a sub-type instead: it can no longer be assigned to resources, but resources that already use it keep it, and you can restore it later.

Troubleshooting and FAQs

The sub-type I want is not in the Resource sub-type dropdown. Check that the sub-type matches the resource's base type, is turned on in the workspace, and is not archived.

A field I set up for a sub-type is not showing. Check that both the sub-type and the field are turned on in the workspace, and that the sub-type is selected on the resource's General tab.

Can a resource have more than one sub-type? No. Each resource can have one sub-type or none. If a field needs to appear on several sub-types, include each of them in the field's Visible on setting.

Can I delete a sub-type? No. Sub-types can only be archived. Resources that already use an archived sub-type keep it.

What happens if my organisation moves off Enterprise? Existing sub-types stay on your resources but become read-only. Creating, editing and turning on sub-types requires Nutrition Labelling Enterprise.

Why can't my Professional workspace use resource sub-types? Resource sub-types are part of Nutrition Labelling Enterprise. Professional workspaces cannot turn them on.
