Using resource templates

Resource templates help you work faster and more consistently by providing a reusable structure when creating new resources. Instead of starting from scratch each time, you can apply a template to instantly populate a resource with pre-filled fields and information. 

What is a template?

A template is a saved version of a resource (like a recipe or meal plan) that you can reuse when creating other resources of the same type. Templates help ensure accuracy and save time, especially when you regularly create similar resources.

How do templates work?

  • Templates are specific to a resource type. For example, a recipe template can only be used for other recipes. 

  • Resources can be created from your template OR you may apply a template to an existing resource. 

  • Templates override any data in your resource draft. 

When should I use a template?

  • You often create resources with a similar structure.

  • You want to make sure your team uses consistent fields and sections.

  • You need to set up standard nutrient overrides, serve sizes or days and sections in your resources. 


Creating a template

You can create a template directly from an existing resource in your workspace OR from scratch in your Workspace settings. Templates can be differentiated from resources as they will have a badge that indicates that it is a template (see example below).

To create a template from an existing resource: 

  1. Open any resource (food, recipe, meal plan, food record or 24 hour recall)

  2. From the resource ellipsis menu, select Create template

  3. Give your template a name. 

  4. Click Create.

Templates are created as a snapshot at that moment, future edits to the original resource will not affect the template. To make changes to the template later, navigate to Workspace settings and select the Templates tab. 

To create a template from scratch: 

  1. Open Workspace settings

  2. Select the Templates tab. 

  3. Click Create template

  4. Select the resource type you wish to create a template for (food, recipe, meal plan, food record or 24 hour recall). 

  5. Enter the details for your template, then click Publish


Applying a template

You can apply a template immediately upon resource creation, to an existing resource, OR from the template itself. 

To apply a template when creating a resource: 

  1. In the navigation pane, select Screenshot 2025-07-30 at 8.50.40 am.png Create resource or client

  2. Select From template

  3. Select the template from the dialogue. 

  4. Click Create new resource

Your resource draft will be created, prefilled with the template information. You can review and edit as needed. Once you're satisfied with the resource, click Publish

To apply a template to an existing resource:

When you apply a template to an existing resource, the template information will override any information in your resource. 

  1. Open your resource.

  3. Select a template. 

  4. Click Apply template

Changes from the template will be applied to the resources. You can review and edit as needed. Once you're satisfied with the resource, click Publish

To create a resource from a template: 

  1. Open Workspace settings

  2. Select the Templates tab. 

  3. Browse and select the template you wish to create a resource from and click it to open. 

  4. From the template ellipsis menu, select Create resource from template

  5. Enter the resource name

  6. Click Create.

Your resource draft will be created, prefilled with the template information. You can review and edit as needed. Once you're satisfied with the resource, click Publish


Managing templates

Templates can be viewed and managed from your Workspace settings. Here you can:

  • View all templates available in your workspace.

  • Open and edit your templates.

  • Delete templates you no longer need. Note: Only organisation owners and admins may delete templates. 

  • Duplicate your templates. 

  • Create new templates.

Sharing templates across your team

All users in your workspace can apply templates created by others in the same workspace. This makes it easy to standardise how your team creates resources.

What happens when a template or resource is deleted?

  • If the original resource is deleted: The template remains intact.

  • If a template is deleted: Any resource previously created from it will remain unchanged.

Templates are independent once created and don’t stay linked to their original source.

Tips for using templates effectively

  • Use clear, descriptive names (e.g. "Standard Childcare Meal Plan").

  • Keep templates up-to-date if your team’s workflow changes.

  • Use templates as a baseline, then customise as needed.

  • All users may create and apply templates. However, only admins or organisation owners can delete templates.
